ARTICLE 1: ORGANIZERS, DATES AND THEME

The competition is being organized by the Ride On Filmfestival through the website www.rideonfilmfestial.com and announced on the leading social network sites. The current rules and regulations are valid from the 1st of August 2017 till the 14th of October 2017, regarding the creation of HD films for the Ride On Filmfestival. In terms of content, mainly creativity and story line are important. The participant is considered to know the competition’s rules and regulations.

Ride On Filmfestival is a brand of BVBA BiteMadness, with registered office at Processieweg 22 Torhout, Belgium.


ARTICLE 2: TARGET AUDIENCE AND REGISTRATION

2.1. The competition is open to everyone. If the participant is under 18 years old at the date of registration, he/she needs a written consent from a parent or guardian and has to able to present it to the organization when requested.

2.2. Entries are accepted from the 1st of August 2017 till the 30th of September 2017. To register, participants must fill in the registration form before the 28st of September 2017 and submit their film before the 30th of September 2017 (preferably sooner, so the film can be placed on the website and properly promoted). Registration is available under the tab “PARTICIPATING” following the instructions on the site. The submitted film will be displayed online and promoted on different media channels. .

2.3. Registration is FREE.

2.4. All participations need to be submitted through Easypromosapp.com (url = smarturl.it/participate-rof17). No other form of participation (e.g. by post) will be accepted.

2.5. Participation in the competition will be invalid when the registration confirmation is incorrect, incomplete, forged, or in violation of the rules and regulations.


ARTICLE 3: PARTICIPATING IN THE COMPETITION

3.1. Every participant can submit multiple films. The video can’t be made before the 1st of January 2016.

3.2. TECHNICAL REQUIREMENTS IF THE PARTICIPANT REACHES THE FINAL AND THEIR FILM IS DISPLAYED ON THE BIG SCREEN:

• The short films have to be recorded in format 1280 x 720 HD or higher. We prefer higher.
• Recommended codec: H.264
• Bitrate: 5000 kbps
• Audio: STEREO - ACC (highest quality recommended)
• The short films have to be edited in post-production


3.2. After selection by the Jury, the winners will be requested to submit their film in the highest possible resolution for screening during the film festival. The participant’s consent will be expressly requested.

This high resolution film needs to be received by the organization at least one week before the start of the festival (before 1st of October 2017). If the film of the participant has not been submitted he/she will be disqualified from the competition.

3.3. All short films that do not meet these requirements will not be accepted. The participant declares and guarantees that the submission is original and that he is the sole owner of the intellectual property rights. Therefore, the participant will get the explicit consent of every third party who directly or indirectly participated in the creation of the film and/or who believes to have a claim towards the participant. The participant will be responsible for any and all resulting expenses.

3.4. In general, the participant will safeguard the organization of this competition from every claim or complaint that any third party might formulate concerning the intellectual rights discussed in these rules and regulations, and in general, concerning any engagement based on the present agreement. The Ride On Filmfestival reserves the right to issue any kind of inquiry in the pursuit of maintaining the present article.

3.5. The submitted film features original images portraying one or more of the following action sports (list non-exhaustive): golf surfing / wind surfing / kite surfing / wake boarding / wake surfing / snow boarding / skiing / skate boarding / long boarding / mountain boarding / finger boarding / blading / stand up paddle surfing / body boarding / BMX / motocross / mountain biking / trail / cycle ball / drag racing / rally / F1 / drifting / street racing / wing suit flying / parachuting / aerobatics / free running / diving / climbing / kayaking / jet skiing / sailing / trekking / ice skating ...

3.6. The organizer reserves the right to extend, shorten, modify, or cancel the competition in case of unforeseen circumstances. If, for any reason, the competition cannot take place as scheduled, due to a computer virus, bug, interference, unlawful entry to the computer system by a third party, fraud, including the use of a system to multiply the number of votes, a technical failure or any other reason beyond the organizer’s control that falsifies or endangers the organization, safety, fairness, and progress of the competition, the organizer reserves the discretionary right to cancel, modify, suspend or cease the competition, for which the organizer cannot be held responsible.


ARTICLE 4: PERSONAL DATA

4.1. All submitted data registered in the organizer’s system will be admissible as evidence concerning the connection and data that have been electronically processed for the organizer’s competition.

4.2. By participating in the competition, the participant grants permission to the Ride On Filmfestival to display their name, photo and identification as participant of the competition and renounces any relevant rights.

4.3. The personal data collected by the Ride On Filmfestival are protected by article 41 of the law of 8 December 1992 concerning the protection of privacy. The data will be gathered for internal use and/or direct emailing.

4.4. The participants can consult, modify, correct and delete their personal data. To do so they must submit a written request to the Ride On Filmfestival using the email address “info@rideonfilmfestival.com”.

 


ARTICLE 5: AWARDS AND THE SELECTION OF THE WINNING SHORT FILMS

5.1. The participants will be notified by email or phone whether or not they have been selected for the final and/or are still in the running for a “Golden Ride On Award”. The selected short films will be displayed the same night on the big screen during the festival, after which the awards and prizes will be given to the winning participants.

5.2. There are several awards :

1. Golden Ride On Award Best Film 2017 (category “professionals”)

3. Golden Ride On Award Best Performer 2017 (= Best Rider)
>>> Award + Merchandise to the value of € 250

5. Golden Ride On Award GoPro Only 2017
>>> Award + Merchandise

6. Golden Ride On Award People's Choice 2017

5.3. The prizes cannot be exchanged for other products, services or cash. The winner must be able to prove their identity when accepting the award.

5.4. The winners will not receive any other compensation for their participation in this competition.

5.5 From the moment a person (cameraman/rider) receives more than 2500 euro in cash/merchandise from a commercial institution (brand/shop/company/…) the movie belongs to the category of ‘professionals’.

5.6 If an amateur cameraman or rider (person who films or engages in the action sport without commercial matters) and has put his own money in a project, this movie will belong to the category of amateurs.

5.7 The winning short films are determined by a 4 independent and professional jury members. They will each separately select their winning short films, democracy will determine the winner. When there is a draw, the vote of the Head of the Jury will count double.


ARTICLE 6: PUBLIC VOTE (= PEOPLE’S CHOICE AWARD)

6.1. Conditions for voters’ participation:

• The vote will take place on the Easypromosapp website (url: smarturl.it/participate-rof17).
• Every natural person is allowed to vote, excluding those involved in the
organization of the award ceremony.
• The organizer will not accept more than one vote per IP-address. During the
counting of the votes both the IP-address and the email address used for the registration of the vote will be taken into account.

6.2. The counting of the online votes

• The short film that has received the most likes by the 5th of October 23h59 2017 is the winner of the People’s Choice Award.
• The organizer reserves the right to enforce compliance with this article, more specifically to exclude any participant who commits any form of abuse or fraud, without being obligated to systematically review all registered votes.

6.3. The online voting takes place from the 1st of August 2017 untill the 5th of October 23h59.

If, for any reason, the vote cannot take place as scheduled, due to a computer virus, bug, interference, unlawful entry to the computer system by a third party, fraud, including the use of a system to multiply the number of votes, a technical failure or any other reason beyond the organizer’s control that falsifies or endangers the organization, safety, fairness, and progress of the competition, the organizer reserves the discretionary right to cancel, modify, suspend or cease the competition, for which the organizer cannot be held responsible.

A legal officer will confirm the counting of the votes immediately following the competition.


ARTICLE 7: ACCEPTING THE AWARDS

The laureates will be announced on the 7th of November 2017 during the Ride On Filmfestival.
The prizes will be awarded during the announcements. Participants unable to accept their award will be contacted by the organization to set an appointment. The organizer will check the winner’s identity before awarding the prize.

Once the prizes have been awarded, participants can use their prizes as they see fit.


ARTICLE 8: DISPUTES

Any interpretation of these rules and regulations leading to a dispute, as well as any unforeseen cases, will be settled by the competition judges. Any questions regarding the interpretation of the rules and regulations must be asked in writing. The organizer will not respond to questions regarding the rules and regulations if they are received later than two weeks after the competition.

These rules and regulations are subject to Belgian law. As a last resort, any difficulties regarding the interpretation of these rules and regulations and any disputes will be settled in the court of law responsible for the organizer’s district.


ARTICLE 9: LIABILITY

The organizer’s liability is strictly limited to the delivery of the legitimately won prizes.

The organization is not liable for any Internet failures or (an attempt at) unlawful access or fraud leading to irregularities regarding the administration, safety, fairness, integrity or management of the competition. The organizer is particularly not liable for any mistakes, omissions, interruptions, deletions, or loss of emails and the loss of any data in general.

The Dutch version of this rules & regulations prevails the English version in case of disputes.
